Office Administrator – Mona Vale

As the Office Administrator, you will play a vital role in ensuring the smooth and efficient operation of the office. You will be responsible for a wide range of administrative tasks, providing support to our team of real estate professionals. This position requires a high level of organisation, attention to detail, and the ability to multitask in a fast-paced environment. The ideal candidate is a proactive self-starter with excellent communication skills and a passion for delivering exceptional customer service.

Responsibilities:
Greet and welcome clients, visitors, and vendors, ensuring a friendly and professional reception experience.
Manage incoming calls, emails, and correspondence promptly, directing inquiries to the appropriate staff members.
Maintain the office calendar, schedule appointments, and coordinate meetings and events.
Assist with preparing and editing various documents, including contracts, reports, presentations, and correspondence.
Process and maintain accurate records of financial transactions, including invoices, expense reports, and payments.
Monitor office supplies inventory and place orders as needed, ensuring availability of necessary materials.
Coordinate office maintenance and repairs, liaising with building management and service providers.
Ensure compliance with company policies and procedures, as well as relevant regulations.
Maintain confidentiality of sensitive information and handle it with discretion.

Qualifications:
Proven experience as an office administrator, office assistant, or similar administrative role is preferred.
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Suite.
Excellent organisational and time management skills, with the ability to prioritise tasks effectively.
Exceptional attention to detail and accuracy in data entry, record-keeping, and document preparation.
Outstanding verbal and written communication skills, including a friendly and professional phone manner.
Ability to work well independently and collaboratively within a team-oriented environment.
Familiarity with the real estate industry or previous experience in a similar field is desirable.

This role is Monday – Friday inclusive.
